KB1090 - Using CRN-based auto-enrolment to enrol your students [DEFUNCT]

September 2024 update: CRN-based auto-enrolment is included as part the automated Banner/Moodle integration process and the steps in this article should no longer be necessary.

One way of automatically enrolling your students into your Moodle course is using the CRN-based auto-enrolment function.  Any student registered in your course in the BANNER system will be enrolled into the corresponding Moodle shell, via an hourly automated process. See KB1250 - CRN-based Enrolment and the Participants Page for more details about this.

You must have sufficient access in order to set up a course shell to use auto-enrolment.  *As of April, 2023, only those in a Moodle MANAGER role will be granted this access. If while following the instructions below you find that you are unable to change the Course ID number field, you can do one of the following:

  • Gain full access to the field by taking an online micro lesson called Banner Auto-enrolment in Moodle. You do not require an enrolment key for this course but if you experience any issues enrolling, please email elsupport@vcc.ca to let us know, so we can investigate.
  • Contact eLSupport@vcc.ca with all of the information (Unique Moodle Course ID, as well as the BANNER TERM and CRN) and ask us to change it for you.

How to set up CRN-based Auto-enrollment in your Moodle course (for Moodle Managers only*)

From the main page of your course,

  1. Go to the Course Editing page by choosing "Edit Settings" on the gear icon, near the top-right of the course page.
  2. Under the General settings area, look for the field labeled Banner ID (Term code+CRN).
  3. Enter the Term Code plus the CRN, as provided to you by the BANNER Scheduler, with no spaces between them.
    (For example, if your CRN is 98765 and your TERM code is 201440 you would enter 20144098765)
    IMPORTANT: If you are copying and pasting the number, you must be sure there is no space at the end. For example, 20144098765  <here is a space after the '5' that needs to be deleted.
  4. Save your changes.
