KB1037 - Using the Face-to-Face Activity to Book Sessions

Instructors can use the "Face-to-Face" meeting activity to create an online booking form so Students can book sessions with their Instructor.
These booking times could be used to schedule in-person meetings, or for live online meetings using a web conferencing platform like Zoom.

Adding the Face-to-Face Activity

In a section of your course, select "Add an activity or resource".
In the Activity Chooser, look for this icon:

Creating a Face-to-Face Session for Student(s) to Book

  • After you add the Face to Face activity and give it a name, save it, and then click back into it, like a Student would.
  • You should now see a link called "Add a new session". Click that link.
    (No sessions exist yet, so you must add at least one for Students to pick)
  • If you know the time/day when you want to be available for your Students, you can select "Yes" for "Session date/time known", and enter the start and end dates/times. (If you want it open for Students to book their own times, select "No" here.)

  • For Duration, you can enter however much time you want to spend in each booked session. The format here is 1 or 1:00 for one hour (2 or 2:00 fot two hours, etc.).
  • The Details box may be the idea place to put important information (like your Zoom Meeting ID for the Student to click into to meet with you online) or any details or instructions.
  • At the bottom, select your name as the Teacher who will be hosting this meeting session.
  • Hit “Save Changes” to save your new session.

What Students see, and how they reserve a booking

In your course, your Students will see the Face-to-Face activity showing available sessions:

They can click “Sign-up” to immediately book a session.

If the Student selects “View all sessions”, they will see this screen:

(In this example, there's only one session available, starting at 4pm. The Student would click “Sign-up” to book it.)

Automatic Alerts and Reminders from Moodle

Students and Teachers will receive automatic emails from Moodle about a session being booked by a Student, or if the status or availability of the booking changes.

Students will receive reminders about their upcoming bookings or if they or the Instructor cancelled the booking.
