KB1145 - Emailing a Screenshot Using Outlook 2010 for Windows

A quick and easy way to take a screenshot, if you're using Outlook 2010 for Windows, is by using the built-in Screenshot tool.

  1. Ensure that whatever window contains the area you want to show is **NOT** minimized to the Windows task bar.
  2. In Outlook, prepare an email message, as usual.
  3. Place your cursor where you would like to insert a screenshot.
  4. View the Insert ribbon by clicking on the Insert ribbon tab.
  5. In the Illustrations area, look for the Screenshot command. If you don't see it, try maximizing your window.
  6. Click on it to start the tool.
  7. You will see Available Windows. This shows only windows that are NOT minimized to the Windows task bar.
  8. If you wish to send a whole window, choose the one you want.  If you'd rather send only a clip of the window, then click on Screen clipping, at the bottom of the pop-up.
  9. If you chose from Available Windows, the window will immediately be inserted into your message. 
  10. If you chose Screen clipping, your screen will go "foggy" and your cursor will turn into a black cross image. At that point you can click and drag to select the area of the screen your interested in. Once selected, it will show up in your message.
  11. Send message, as usual.

If you are using Windows 7 or higher, but not using Outlook, you can still easily send a screenshot using the Snipping Tool.
