In order to facilitate the management of thousands of Moodle shells every year, the data retention policy for Moodle shells for ALL departments and programs has recently been harmonized and changed as follows:
Moodle shells will be kept on the Moodle server for 3 years past the end date of the term in which they are delivered. This is a one year increase from the previous 2 year retention.
As an example, courses offered in January of 2024 (the 202470 and 202491 terms which cover January to April) will be scheduled for deletion sometime after April of 2027.
Faculty or students wanting to keep any information from these shells should be sure to download what they want to keep before the shells are deleted. Our recommendation would be to do this at the end of the course, so that it's not forgotten. *
Before deletion, eLearning Support will attempt to notify any enrolled "Teachers" via a "warning message" sent to their VCC email address. PLEASE ENSURE YOU READ YOUR VCC EMAIL REGULARLY.
Moodle gradebooks must be kept for 7 years.
It is the responsibility of the instructor or designate to download copies of the Moodle gradebooks for safe-keeping in a secure location. Again, it is recommended that this be done at the end of a course, so that it's not forgotten. *
