KB1365 - Essential Gradebook Questions and Resources

Body

Moodle's Gradebook is a powerful tool through which instructors can manage, organize, and communicate grades and course progress to their Students.  It lets educators manage, edit, and organize grade items into categories, while enabling students to view their course progress and final results on demand.

Getting Started

Q.) Why should I use Gradebook in Moodle?

Moodle's Gradebook is one of the most powerful features for Instructors, but it can be daunting if you've never used it before. CTLR's video series "Let's Talk about UDL and Blended" provides brief explanations and video tutorials to help you succeed with Moodle's Gradebook:

Further Training in Moodle Gradebook

This free, intermediate level course is designed to help educators optimize their grading process and  better support their learners. Learn about different aggregation methods, discover tricks for organizing your Gradebook with categories, and understand how to manage empty grades to reflect accurate student progress. The course also covers how to tailor the Gradebook to meet the specific needs of your organization and enhance learner engagement and success. (The course's previous synchronous presentation has been recorded.)

Common Gradebook Questions from Instructors

Q.) Why can't I find my gradable activities in the Grader Report?

Maybe the activity you're looking for was hidden from Students. After a closing date has passed on a quiz or activity, it's a common mistake for Instructors to hide their activities from Students to prevent further attempts. Don't do that! Hidden activities become completely invisible to the Gradebook, and their marks won't contribute to Student course totals.

The MR4F forum post "Stop hiding your Moodle Quizzes" explains further using illustrated examples.

Q.) Student's activity or course totals differ from what their Instructor sees.
Why aren't they the same?

(Courtesy of Google AI)
"In Moodle, student and teacher gradebook totals differ primarily because teachers see all items, while students only see visible ones. The total for students often excludes hidden activities, or it uses a setting that hides the course total if it includes hidden grades, making the calculation appear differently.

Key reasons for discrepancies:

  • Hidden Activities: If an activity or category is hidden from students, the student’s Course Total recalculates only using visible items, whereas the teacher's view includes everything.

  • Excluded Grades: Teachers may have manually marked a grade as "Excluded," which removes it from calculations, causing differences. Check for this setting on individual graded items and in gradebook categories.

  • 'Exclude empty grades' setting: If this is enabled (default), the total only calculates based on completed work, not the entire potential total. Check for this setting on individual graded items and in gradebook categories.

How to make Student totals match what the Instructor sees:
Go to Gradebook setup > Course grade settings > User Report > set "Hide totals if they contain hidden items" to "Show totals including hidden items."

Q.) Is there a master list of Moodle Grade questions and answers?

Yes, Moodle.org has a Grades FAQ page on their website

Q.) Where can I see or share tips on grading and Gradebook with my colleagues?
